Exhibition organisation from A to Z

Stand planning

Deadline: The deadline for approving the stand design is 5 weeks before the trade fair.

Details can be found in the deadline checklist for the respective venues. The checklist is available in the venue overview on the exhibitor portal.

Actions to be taken by the deadline

  • Order additional stand equipment from the MyEasyfairs online shop
  • Check and approve the technical stand drawing
  • Send print files for stand graphics directly to the stand construction partner Messeprojekt
  • Check and approve the graphic layout

Stand design and construction is handled directly between the exhibitor and our stand construction partner, Messeprojekt (mp).

Timeline Action
10 weeks before the deadline (approx. 16 weeks before the trade fair) The technical stand drawing is sent by email. It is based on the services booked and, where applicable, takes into account the stand configuration from previous trade fairs. For very large trade fairs or where planning extends into holiday periods, the drawing is usually sent out earlier.
Ongoing Coordination and finalisation of the stand design directly with the trade fair project team
Deadline: 5 weeks before the trade fair Approval of the stand construction plan, closure of the online shop
A written approval is required for the stand construction plan. If no feedback is received regarding the most recently sent technical stand drawing and graphic layout, the plans shall be deemed to have been approved.

Bookings are now open for the ‘all about automation’ event in Düsseldorf. This feature will also be rolled out gradually for trade fairs in 2027.

What is the API interface?

The API interface connects the trade fair’s own visitor registration system with the exhibitor’s visitor registration system. This enables exhibitors to use their own visitor registration app and scan the QR codes on visitor badges directly with this app.

How to book

  1. Log in to MyEasyfairs and select the fair you wish to attend.
  2. In the menu, select ‘Generate leads’ and, under Visit Connect, click ‘Get started’ → ‘Visit Connect’.
  3. In Visit Connect, the relevant menu will then open on the left-hand side.
  4. Select the “Shop” option there. You can book the API interface for the selected trade fair via the Shop.

Once the booking has been completed, all the information required to set up the interface will be provided directly by the relevant technical service provider. The service provider is also available to answer any technical queries regarding the set-up.

If you have any further questions about the booking or the API interface, the Easyfairs team will be happy to help.

Registration for the trade fair automatically includes cover under the exhibitor’s comprehensive insurance package. The insurance offers comprehensive cover for the key risks associated with taking part in the trade fair.

Scope of cover

  • Public liability insurance: Proof of insurance is required for all Easyfairs trade fairs.
  • Cancellation insurance: Cover in the event of non-attendance through no fault of your own.
  • Property insurance: Cover for damage to or loss of trade fair equipment, including transport.

Cost: €195

The insurance partner is Inevexco. All communication regarding the exhibitor’s comprehensive insurance policy will be handled directly by the insurance partner.

If you already have adequate insurance cover, you may opt out of the exhibitor’s comprehensive insurance policy upon provision of appropriate proof.

Further information can be found in the registration form, in the trade fair organiser’s terms and conditions and on the Inevexco website.

Where performances or the playback of media take place at the stand – for example, music in promotional films – GEMA fees may apply. The exhibitor is responsible for registering with GEMA in good time and for paying the fees.

Printing of the tower graphics is included in the stand package.

Additional print elements (textile & vinyl graphics) can be booked via the online shop in MyEasyfairs for a fee.

Final graphics must be submitted by the deadline and in accordance with the graphics guidelines to the stand construction partner Messeprojekt. Implementation cannot be guaranteed after the deadline has passed.

Sustainability in textile graphics

Sustainability also plays an important role in stand construction. Since 2025, the textile graphics used for system stands have been made from recyclable material and are verifiably recycled.

There are three options to choose from for the textile graphics:

  • Reprinting the textile graphics
  • Reusing the graphics file
  • Re-using the textile graphics

Under the ‘Re-Use’ scheme, the textile graphics are stored and reused at future ‘all about automation’ trade fairs. The ‘Re-Use’ scheme for textile graphics, which involves significant logistical effort, offers attractive pricing that prioritises sustainability over profit.

All options can be booked via the online shop in MyEasyfairs.

The basic furniture package is included in the stand package.

Additional furniture can be booked via the online shop in MyEasyfairs for a fee.

All additional orders must be placed in good time. Once the deadline has passed, we cannot guarantee that the order will be fulfilled.

Please note:

  • Furniture included in the stand package cannot be exchanged for other items.
  • Unused standard furniture does not entitle you to a price reduction.
  • Unused furniture must be placed in the hall aisles on the service day; it will be collected by the exhibition team.
